Springvale takes the privacy of your information very seriously and the purpose of this policy is to set out the relevant legislation and to describe the steps Springvale is taking to ensure that it complies with it.

We are Springvale EPS Limited and the principle activity of the company is the manufacture and supply of expanded polystyrene (EPS) products.

We are registered in Northern Ireland and our company registration number is NI001043. Our registered office address is Springvale EPS Limited, c/o Cleaver Fulton Rankin, 50 Bedford Street, Belfast, Northern Ireland, BT2 7FW.

Why we need your data and what we collect

In its everyday business operations Springvale EPS Limited makes use of a variety of data about identifiable individuals, including data about:

• Current, past and prospective employees
• Customers – current, past and prospective
• Suppliers – current, past and prospective
• Users of its enquiry form via our websites

and as a result we collect the following contact data from you including name, address, email address and phone number.

• the purposes of performance of an order for the sale of our products and services (to which you are party) or in order to take steps at your request prior to entering into an order
• in replying to enquiries received via our website in relations to our products or technical information;
• the pursuit of our legitimate interests (as set out below) or;
• to comply with our legal obligations.

Springvale has a legitimate interest to process your personal data in order to fulfil the following:-

• Selling and supplying products to our customers;
• Protecting customers, employees and other individuals and maintaining their safety, health and welfare;
• Complying with our legal and regulatory obligations;
• Handling customer contact, queries, complaints or disputes;
• Effectively handling any legal claims or regulatory enforcement actions taken against Springvale; and
• Fulfilling our duties to our customers, colleagues, shareholders and other stakeholders.

Retention of your data

We will not retain your data for longer than necessary for the purposes set out in this notice. Different retention periods apply for different types of data. Data retention periods maybe legally imposed upon us or we may need to retain data to protect the vital interests of you or another natural person. However the longest we will normally hold any personal data is 6 years after which time it will be deleted from our systems

Where we send your data

Springvale will not share your information with third parties unless discussed and agreed by yourself.

Rights of the Individual

5. The right to restrict processing – in certain instances you have the right to restrict the processing of your personal data. However, there are a number of exclusions and details of which can be found by contacting the ICO
6. The right to data portability – you have the right to ask us to provide you with the data we hold about you. Where appropriate, we will provide this to you in a structured, commonly used and machine-readable format. This right does not apply where it would adversely affect the rights and freedoms of others.
7. The right to object – you have the right to object to our processing of your personal data on grounds relating to your particular situation. However, there are a number of exclusions and details of which can be found by contacting the ICO.
8. Rights in relation to automated decision making and profiling – whilst we don’t undertake these activities, should we decide to change this approach we will adopt suitable procedures and you have the right to understand and challenge these.

Each of these rights our supported by appropriate procedures within Springvale that allow the required action to be taken within the timescales stated in the GDPR.

Security

Data security is of great importance to us and to protect your data we have put in place suitable physical, electronic and managerial procedures to safeguard and secure data collected. Our methods meet the GDPR compliance requirement.

Our website does not retain any information submitted via the enquiry form, enquiry form submissions go directly to our Technical department.

Complaints

At Springvale we take complaints we receive very seriously. If you consider that we have in some way infringed your rights or data protection law, please let us know and we will do all we can to investigate this. Alternatively, you have a legal right to contact the relevant supervisory authority responsible for data protection. In the case of the UK, this is the Information Commissioners Office. Breach Notification

It is Springvale’s policy to be fair and proportionate when considering the actions to be taken to inform affected parties regarding breaches of personal data. In line with the GDPR, where a breach is known to have occurred which is likely to result in a risk to the rights and freedoms of individuals, the relevant supervisory authority will be informed within 72 hours. This will be managed in accordance with our Information Security Incident Response Procedure which sets out the overall process of handling information security incidents.

Change to our Privacy Notice

At Springvale we keep our privacy notice under regular review. We reserve the right to change this privacy notice as we may deem necessary from time to time or as may be required by law. Any changes will be immediately posted on the Website and you are deemed to have accepted the terms of the privacy notice on your first use of the Website following the alterations.
